In this newly created role, our Senior Benefits Administrator will experience all the benefits of working for a fast-¬paced, entrepreneurial company while having a significant impact on the energy and sustainability management industry. This position, reporting to the Manager of Compensation & Benefits, will be located in our Portland, Ore. office.
Role Description
• Responsible for end to end administration of all Ecova benefits programs to include both tactical (65%) and strategic aspects (35%) in partnership with Ecova benefits broker(s).
• Utilizes strong customer service mindset to ensure a positive employee benefits service experience for employees and outstanding service level delivery to internal clients.
• Prepares comprehensive reports and materials for the Benefit Plans and Administration Committee (BPAC).
• Serves as benefits systems administrator; assesses benefits system scalability in parallel to Ecova growth. Reviews and recommends system enhancements based upon company need.
• Provides cost/benefit analysis of program and/or system changes.
• Performs comprehensive reviews of benefits offering and completes of organizations targeted for acquisitions through the Ecova due diligence process.
• Manages professional Ecova benefits enrollment processes to include Open Enrollment, periodic new hire enrollment, and enrollment of employees obtained through company acquisition activity. Understands the uniqueness of each of these audiences and any associated change management considerations
• Project manages benefits projects or programs in partnership with external benefits broker; open and continuous employee enrollment for new hires; company wellness program, leaves of absence and COBRA.
• Delivers outstanding customer service to employees through efficient management of benefits inquiry queue; delivering prompt and accurate responses to employee inquiries. Tracks inquiries for C&B metrics, analyzes trends in inquiries and makes recommendations for proactive communications or trainings to reduce inquiry volume.
• Ensures prompt benefit carrier invoice processing and invoices regularly with Finance.
• Maintains the pulse and awareness of external marketplace with respect to benefits compliance. Prepares Ecova for efficient management of benefits reform to effectively manage risk through this transition.
• Interfaces with and communicates regularly with both external partners such as benefits brokers, carriers, consultants, etc., and internal partners such as legal and finance department as well as other HR COEs as necessary.
• Ensures company is compliant with legislation associated with assigned rewards programs such as but limited to FLSA, FMLA, ERISA, and benefits requirements such as Summary Plan Description delivery.
• Has ownership of drafting communications, education and training on benefits program to existing and newly hired employees and managers.
Role Competencies
• Bachelor's degree in Business, Human Resources or related field.
• In lieu of bachelor’s degree will accept Associates degree + four years required experience in benefits administration within an organization greater than 1,000 employees.
• CEBS or CBP certification strongly preferred.
• 4-6 years experience administering end to end benefits plans in a Self Insured environment in an organization greater than 1,000 employees required.
• 1-2 years benefits project management experience required including use of project plans and task lists.
• Prior experience with M&A activity, benefits due diligence, and integration of acquired employees.
• 3 years experience presenting benefits topics to wide range of audiences including diverse employees and executives required.
• Prior experience leading benefits system integration required.
• Experience preparing cost/benefit analysis of benefits program and system changes.
• Proficiency in benefits compliance including ERISA, FMLA, USERRA, etc and related laws.
• Working knowledge of healthcare reform initiatives.
• Solid understanding of change management practices and implications.
• Strong interpersonal, communication and customer service skills.
• Strong detail orientation; ability to analyze; evaluate; recognize trends and solve problems.
• Ability to multi-task and prioritize workflow in a fast paced environment.
• Excellent written and verbal communications skills.
• Ability to work with all levels of staff and management.
• Ability to work in a team-oriented and collaborative environment.
• Ability to serve as a consultant and trusted advisor with respect to Rewards programs.
• Work requires willingness to work a flexible schedule. Intermediate to Advanced knowledge of Microsoft Excel; working knowledge of Microsoft Word, Power Point and Outlook.
• Demonstrated excellence in attention to detail, following through on all issues and managing shifting priorities.
